This notice explains how Haverstock Capital Partners LLP (“Haverstock”, “we”, “us”) collects and uses personal data when you apply for a role through this site. It is issued under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Controller

Personal data we collect
- Your name, email address and telephone number.
- The CV you upload and any supporting material you choose to submit.
- Your chat transcript with our automated HR Assistant.
- Your IP address, used only to prevent abuse of the site (rate limiting).
- Publicly available profile data obtained from Apollo.io (see “Recipients” below), such as LinkedIn URL, photo and current job title.
Purposes and legal bases
We process your personal data for the following purposes, relying on the legal bases stated:
- Assessing your application and communicating with you — Article 6(1)(b) UK GDPR (steps taken at your request prior to entering into a contract).
- Running a fair and efficient recruitment process, preventing abuse and protecting our systems — Article 6(1)(f) UK GDPR (legitimate interests).
Automated screening
Our HR Assistant performs an initial assessment of your CV against the role's essential criteria using artificial intelligence. This is automated processing within the meaning of Article 22 UK GDPR.
No hiring decision is made solely by automated means — a member of the Haverstock team reviews every application that meets the essential criteria. You have the right to obtain human intervention, to express your point of view, and to contest the outcome of the automated screening by contacting us at the address above.
Retention
If you start an application and choose to come back later, we issue you a finish code and hold what you have submitted so far for up to 30 daysfrom your last activity. If you do not return within that window, your in-progress record — including any CV, chat transcript and supporting material — is deleted automatically.
Once you fully submit an application we retain it for as long as is reasonably necessary to consider you for the advertised role and, where relevant, other suitable roles, and to meet our legal and regulatory obligations. You may ask us to delete a submitted application at any time using the contact details below. If your application leads to an offer that you accept, your data then moves into our internal HR records, which are subject to a separate retention policy we will share with you at the point of offer.
Recipients
We share limited personal data with the following processors acting on our instructions:
- Apollo.io(United States) — queried with your name and email to enrich your profile with publicly available data.
- Postmark(United States) — used to deliver transactional emails to you (application confirmations, stage updates, outcome).
- Microsoft Azure(United Kingdom / European Union regions) — hosting provider for this site and the database that stores your application.
We do not sell your personal data or share it for advertising, analytics or profiling beyond what is described in this notice.
International transfers
Where we share data with providers based outside the United Kingdom (specifically Apollo.io and Postmark in the United States), we rely on appropriate safeguards under Article 46 UK GDPR — the UK-US Data Bridge or the ICO's International Data Transfer Agreement /Addendum, depending on the processor's certification status.
Security
Your data is stored on encrypted infrastructure, transmitted over HTTPS and accessed only by Haverstock staff who need it for recruitment. Access is gated by Microsoft Entra ID (single sign-on with multi-factor authentication).
Your rights
Under the UK GDPR you have the right to access, rectify, erase, restrict or object to our processing of your personal data, and the right to data portability. To exercise any of these rights, email join@haverstockcapital.co.uk — we will respond within one month.
If you are unhappy with how we handle your data you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
This public site uses only strictly-necessary cookies (for rate-limiting and keeping your application session open). It does not use analytics or advertising cookies.
